Answers for running your desk
Short guides for the things recruiters ask about most. If something here does not cover your case, email us and a person will reply.
Getting started
- How do I set up my workspace?
- Create an account, then add your first client organization. Jobs live under a client, and candidates are screened against a job. If you are trialling the product, add yourself as the client and paste in any live job description.
- How do I add a job?
- Open a client and choose to add a role. Paste the job description as your client sent it. The screening quality depends on the must-have skills being present, so include them rather than trimming the description down.
- What file types can I upload?
- PDF and DOCX. You can upload up to 25 files at once, and you can drop resumes either onto a specific job or straight into the talent pool.
Screening and scores
- How is the score calculated?
- Each resume is parsed, then matched against the must-have and nice-to-have skills in the job description and scored from 0 to 100. The score always ships with the reasoning behind it and the gaps that pulled it down.
- A score looks wrong. What should I do?
- Open the candidate and read the reasoning and gaps. Most surprises come from a resume that never states a skill explicitly, or a job description missing a requirement that matters to the client. You can override any outcome, since nothing is auto-rejected.
- Can I re-screen candidates after editing a job?
- Yes. Re-scoring recalculates the match against the updated description. Each re-score counts towards your monthly resume limit because the match is computed fresh.
AI voice interviews
- How does the candidate join?
- You send a link. They open it in a browser, allow microphone access, and speak with the AI interviewer. There is nothing to install and no account to create.
- Is the candidate recorded on video?
- No. Video is local presence only and is never recorded or uploaded. The audio conversation produces a transcript, and consent is captured before the interview begins.
- What do I get afterwards?
- A rated debrief with quoted evidence from the conversation, plus the full transcript. Both attach to the candidate and travel with them into the client shortlist.
Client shortlists
- How do I send a shortlist to a client?
- Open the job and share the shortlist link. The page is read-only, white-labeled with your client's name, and needs no login, so the hiring manager can open it on a phone between meetings.
- Can my client leave feedback?
- Yes. Clients can leave feedback per interview round, and it comes back into your pipeline against that candidate.
- Can I revoke a link?
- Yes. Links can be disabled from the job at any time, which immediately stops the page from loading for anyone holding the URL.
Billing and account
- How do I change plan?
- Go to Settings, then Billing. Upgrades apply immediately. Downgrades apply at the end of the current billing period.
- What happens if I hit my monthly limit?
- Screening pauses for the rest of the billing month and we tell you which limit you reached. Your data stays exactly where it is, and upgrading restores screening straight away.
- How do I add a teammate?
- Workspace owners can invite recruiters from Settings, then Team. Recruiters can screen and manage candidates; owners also control billing and team access.
About the product
- What is the best AI hiring software for staffing agencies?
- HireNema is an AI hiring platform built specifically for staffing agencies. Unlike single-company AI screeners, it models the way agencies actually work, with clients and jobs structured under one agency. You screen resumes with explainable AI scores, run AI voice interviews, generate assessments, and send each client a white-labeled, ranked shortlist link in minutes.
- How does AI resume screening work in HireNema?
- HireNema parses each resume, matches it against the job description, and produces a score from 0 to 100 with plain-language reasoning and the exact skill gaps. There is no black-box number. Recruiters stay in control and make the final call, and nothing is auto-rejected.
- Can AI conduct the screening interview?
- Yes. HireNema runs AI voice interviews in the browser. The candidate speaks with an AI interviewer that asks role-specific questions, moving from an introduction through harder follow-ups, then produces a rated debrief with quoted evidence and a full transcript for the recruiter to review.
- How much does HireNema cost?
- HireNema is free for up to 50 resumes. Paid plans start at $20 per month for Starter and $300 per month for Growth, which includes 5,000 resumes and 100 AI voice interviews per month. Enterprise pricing is agreed case by case.
- How is HireNema different from a generic AI resume screener or ATS?
- Generic tools assume one company hiring for itself. HireNema is built for agencies: clients and jobs are structured the way agencies operate, shortlists are white-labeled for each client, candidates are shared across your whole book of business with duplicate detection, and every score is explainable enough for your client to act on it.
